Candle Creations is seeking a switched on and enthusiastic Customer Service Manager to take responsibility for the day to day running of our successful business based on the North Shore.
This is a varied ‘hands-on’ role within a small team, meaning you’ll be involved in many aspects of the business. During a typical day you’ll spend time with customers in our showroom, handle product and service related queries online and on the phone, and work in the warehouse helping with packing and pre-packing to make sure that the orders get out the door on time. You’ll also spend time handling admin’ tasks and reporting on daily activity.
You will oversee the picker packer staff to manage the order picking process and prioritise workload. You’ll also work closely with our warehouse and procurement manager, keeping abreast of stock movements and ETA’s.
You must know, or be interested in learning about, one or all of the following; candle making, soap making and other home fragrance related crafts and you will need to commit to proactively developing your skills in these areas so that you can confidently handle customer enquiries.
Above all you must be a ‘completer’ and be capable of multi-tasking and prioritising to get the job done. This is not a desk job, you will be active and on your feet most of the day, so you’ll need to be physically fit and not afraid to share tasks and work as a team.
Key tasks and responsibilities include:
Serve customers in our showroom, phone, email, online Chat, and Facebook by answering their product and service related questions
Overall responsibility for ensuring that orders are dispatched on time, accurately, and with minimal
damage; assisting the picker packers with pre-packing and dispatching as required
Work with warehouse and dispatch staff to resolve issues raised by customers
Track and and report on key performance measurements for the business
Develop and implement process and procedures to improve operational efficiency
Ensure that the showroom is maintained to a high standard according to seasonal promotions
Taking ownership of branch related projects such as building admin’ issues, compliance, etc.
Assisting with monthly (evening) candle classes
Attend to delivery and returns enquiries and issues
Monitor and order packaging and office supplies
To be successful in this role:
Ideally you will have experience working within a wholesale distribution environment where customer support, timely delivery, and accuracy of orders and information are critical
You can demonstrate an ability to deliver exceptional customer service and intuitively know how to handle various situations and prioritise your workload and that of your picker packers
You can take charge and get things done, making decisions on the go and rolling up your sleeves when you need to
Basic IT skills. Meaning you know the difference between a modem and a hard drive. You know what to do if our website goes down or the internet connection drops out
Extra credit if you also have website editing skills, social media/product blogging skills, MPI credentials, or any other relevant skills or experience within the home fragrance and bath & body industry
This is a small team environment where everyone pulls their weight and mucks in when required. The owners are not directly involved in the day to day running of the business so it is very important that you are self motivated, trustworthy, and posses a great deal of common sense. You will flourish in this role if you are customer focused, enjoy variety, cope well under stress during peak times, and you understand the concept of a self-directed team.

One thing our customers have come to realise about our online delivery service is that we are pretty fast, usually! But at this time of year (during our Christmas peak season) things tend to get hectic and even though we shift into overdrive, you will find that orders can take a little longer than usual.
So we’ve put together a list of top tips to help make sure your order gets delivered before Santa slides down the chimney! In order of importance, here they are!
Top tips for getting your order delivered as fast as possible!
1. Order more items, less often!
Ok, this might sound difficult but it is the easiest way to avoid the queues this season! Instead of placing small orders every other day, make one big order every other week, or month! If paying upfront for that big order is an issue, choose Afterpay in the checkout and spread the payments over 8 weeks!
The other benefit to this is you are less likely to be disappointed if/when we sell out of your favorite item!
2. Get in early!
Yep, just like the queue at the coffee shop, our queue builds at the same time every day (in our case every week and year) so don’t put it off….order now! By the way, the busiest day for orders is Monday as we are busy processing the weekend orders. Consider ordering mid-week for a shorter dispatch time.
3. Make a list and check it twice!
We get dozens of calls a day from customers who forgot to add “just one little thing” to their order. While this might seem easy enough for us to add it for you, or for you to make another “combined order” it’s actually REALLY time consuming and slows down the entire dispatch process. Please check your orders carefully before you click the buy button; order once, order right!
Our focus at this time of year is 100% on picking and packing orders and getting them out the door ASAP for you. So every time the phone rings, an email comes in, or a chat pops up….one of us stops packing orders to help you. Please make sure you really do need help before picking up the phone. 5. Check your delivery address details!
You’ll be amazed at how many orders we have to manually edit due to customers putting incorrect or incomplete delivery addresses. This times time to call or email you and wait for a reply.
Please check your order carefully and we’ll make sure your order gets to the right place!
6. Don’t push in!
Probably the most frustrating request we get is from customers asking if they can jump the queue. It puts us in a tricky situation because we love to help, but doing so means someone else misses out. You wouldn’t walk behind the coffee counter (in front of all the waiting customers) tap the barista on the shoulder and say “hey buddy forget about the other customers for a minute and make me a coffee”?! It’s not cool in the cafe’ and it’s not cool online.
So there you have it!
The six top tips for getting your candle making supplies delivered efficiently this peak season. In case some of you are asking, why don’t we just hire more staff? Well we already do hire more staff during the peak season and if we hired more….we’d be tripping over each other, and we would have to put our prices up!
And secondly….you can really help by following these tips. We have plenty of happy, helpful staff and helpers on hand and rest assured that we will be here, packing orders, until the last box has gone to the Christmas tree!

Well folks I’m afraid I have some not so good news to share in this blog. After holding our fragrance prices relatively stable for quite some time there has been a series of recent events that are pushing up the price of our fragrance oils.
Late last year, a factory fire at a major raw material supplier in Germany (BASF) resulted in a plant closure. And in April this year there was another fire resulting in a shutdown at Privi Organics in India. In addition, tighter environmental controls have limited the production of certain raw materials in recent months while at the same time, other natural materials have experienced growing supply challenges. This has resulted in a surge in market prices.
Add to this supply problem the continual slide in the NZ$ and we have a perfect storm that can have only one outcome. We don’t know how long the raw material prices will continue to surge but at this point, we have no choice but to ask our customers to share in the burden of these cost increases and therefor, unfortunately, the price of our fragrances will increase by up to 20% (dependent on the ingredients in each fragrance) effective from September the 1st, 2018. Not every fragrance will be affected, but most will…some may increase by 5%, some up to 20%. We have the challenging task of working though each and every fragrance to set the new prices.
We are not willing to compromise quality by reformulating our fragrances.
One option offered to us was to ‘reformulate’ some of our more expensive fragrances; essentially watering them down with fillers and replacement ingredients to keep the price the same on the same named fragrance. But I just don’t agree with that option and I don’t think you, our customers, would agree either. Please beware because some other companies may reformulate without telling you; if you do buy candle or soap fragrance elsewhere and their prices aren’t going up….you can pretty much bet that the quality is coming down!
