So obviously I use GTD. I got a new job several months ago, and the more comfortable in my role that I’ve gotten, the more efficient my system has gotten.
I’ve been asked to help others set up a system for themselves but at the most basic level. The problem is, I’m not really sure what the most basic level of GTD is? The system can be modified, of course, but that seems rather personal and I’m not sure how to go about coaching someone to make a system work for them without setting up the whole system. Not to mention even the choice of tools is a personal choice…
Do I start by having them iden ..read more

The most difficult part for me is how to make a shorter next action list.
Do yoy tag with the contexts all your TODO's or only next actions?
How do you manage the overwhelming long list of thinks to do?

Any digital app that is marketed and designed around task management has to have a model of the problem space, and a set of workflows. Invariably, perhaps with the exception of Facile Things, this model and workflow are not GTD.
For example, GTD includes five horizons: next actions, projects / areas of focus, goals, vision, and purpose. Where are those in Things? Omnifocus? Trello? Etc.
Or take Things 3- in that app, your list of actions for a project are assumed to be a fully pre-planned list of everything you need to do in the project, to the point it renders a little pie chart of completio ..read more

I've been working on implementing and refining the system over the past few months, but have become very frustrated with trying to find a tool that meets my needs. I tried Trello for a while using columns for projects, cards for projects, and checklists/descriptions for storing tasks within projects and information related to the projects, but there was not a great way to handle next actions without using a separate list app and having to manually copy tasks over.
I tried Clickup, the free version of which more or less does what I need it to, but it is pretty clunky and the large difference ..read more

I use ticktick. I use #tags for contexts such as #computer, #errands
Then I place the tasks into lists for the area or focus.
So, "send email to boss" task goes in WORK list. Tagged #computer
But I have hundreds of tasks.
Id like to have a way to move them to different statuses Now Today This week Next week Next month Later
Should I use tags for contexts and areas of focus? And use Lists for Status?
How do you all recommend using tags and lists for these 3 types of Metadata: Context Area Status
Thank you!
Also do you use Flags? P1 P2 P3 P4

I scan my PDFs from a desktop scanner and automate them getting dumped into a folder on my NAS.
After years of this I still don't have a good system for creating a task for some of these. Let's say it's a paper bill that I scan and need to create a task to pay the bill in 3 weeks.
I use Things 3 but could wondering if there's a way I could manually tag the PDF in Finder after scanning with a tag of TODO and then have an automation that runs nightly that creates a Reminders task and attaches the PDF for any file that is tagged TODO. Then T3 could import that task from Reminders.
This sounds fr ..read more

One of the things I love about the GTD book is how he includes all areas of life, not just paid work, and recognizes the copious amounts of tasks that come up outside of the "job" context. I've been doing GTD for over a year (using Todoist for the "next action items"), and it's going pretty well at work. But I'm still struggling with how to apply it efficiently and keep up with it for the non-work areas of life. I would love your tips for which apps/resources have helped you with this, how you're organizing your lists, how you're keeping up with it all, etc.
Examples of the things in this are ..read more

I use Google Tasks personally and for work. There are times where I want to view all my tasks lists in one view without constantly having to change browser window or switch browser profiles. I couldn’t find a way to do this and it annoyed me so much that I decided to build my own solution for it. Is this something any of you would find valuable? I can’t imagine I’m the only person with this problem. I haven’t launched it yet but if there’s enough interest I will soon. You can check it out here and let me know what you think https://task-fusion.pro

- GTD is both a panacea for organizing areas of life that are difficult to maintain and a curse because there are always unfinished projects and a full list of next actions before your eyes
- I know and have been trying to run GTD for two years.
- Lately there has been a crisis in relations with gtd.
- Usually, if I’m not at lectures on my studies or not at work in the office, I spend my time in such a way that I procrastinate, working on a list of current actions and reviewing the system to replenish them.
- If I understand that I’m not doing work on gtd, then I feel guilty - after a ..read more
